This policy describes how Gemstone Institute of Advanced Studies (GIAS) collects, uses, retains, and shares personal information from prospective applicants, current students, parents, and guardians.
When you apply to the IJMB programme through our website, we collect information you provide on the application form: applicant first and surname, date of birth, gender, email, phone number, most recent school attended (optional), examination history (WAEC/NECO and JAMB status), intended subject combination, intended university, parent or guardian name and phone number, and any free-text notes you provide.
Once an offer is issued and you sign in to the applicant portal, we additionally collect documents you upload (WAEC results, birth certificate, passport photograph, guardian identification) and proofs of payment. Card details for tuition payments are processed by Paystack and are never stored on GIAS systems.
From your browser we set authentication session cookies (used by Better Auth to keep you signed in) and, on the /admissions/start parent-application landing page, the Meta (Facebook) Pixel, which measures conversion of advertising campaigns.
We use this information to: assess your application; communicate with you about your application by phone, WhatsApp, SMS, and email; issue offers and offer letters; process tuition and application fee payments; comply with statutory record-keeping obligations once you enroll; and measure the effectiveness of our advertising.
GIAS does not sell personal information, and does not share it with third parties for their own marketing.
Application records are retained throughout the application assessment process and the period of study. After enrollment ends, academic records are kept indefinitely as part of the institute’s permanent record. Application records that are withdrawn, declined, or never advanced past the “lead” stage are archived after a reasonable period and deleted on written request.
In line with Nigeria’s Data Protection Regulation (NDPR), you have the right to request access to the personal information we hold about you, to request correction of inaccurate information, and to request deletion of records that are no longer required for our legitimate purposes. We may update this policy from time to time. The “last updated” date at the top reflects the most recent revision. Substantial changes will be communicated to active applicants and students by email.
